Terms and Conditions
Billing
Invoices shall be issued before the beginning of each month. Lessons must be paid in advance — either in full or by instalments (monthly or weekly).
Methods of Payment
We accept the following payment methods:
Cash
Card
Direct debit (GoCardless)
Bank transfer (details available on request)
Cheques (including post-dated)
Phone payments
We recommend setting up a standing order for the 1st of each month or a direct debit.
Please remember to include the student’s details with all methods of payment.
Overdue Accounts
Lessons shall be stopped once an account is overdue by 1 month. In such cases, you will be liable for all missed weeks.
Cancellation Policy
This policy ensures clarity for teachers, students, and parents/guardians regarding cancellations or absences.
If your teacher is absent, a cover or substitute teacher will be arranged.
If cover is not possible, we will attempt to reschedule.
If rescheduling is unsuccessful, a credit note will be issued and applied to the next month’s bill.
Excused Absences (not charged):
Family death
Family funeral
Hospitalisation (student or immediate family member)
Car accident
Extreme family circumstance
Only the reasons listed above will result in deductions.
All other absences will still be charged in full.
Missed group classes are not refundable.
Termination of Lessons
To end lessons, please inform the office in writing.
We require notice to complete the current month.
Students may still attend their remaining lessons during this notice period.
Fees for this final month are still applicable.
Late Fees
If payment is not received within the month, a weekly late fee will be applied (in line with government/small business regulations) until either:
Fees are paid in full, or
A payment plan is agreed with the office.
Additional Costs
Additional fees may be added upon agreement with your teacher:
Exam entries
Exam accompaniments
Extra lessons
All exam fees must be paid before the exam deadline, or entry will be refused.
Child Protection
All teachers are vetted via Access NI.
Our staff are only responsible for students during lesson time.
Please collect your child promptly after their lesson.
Privacy Policy
We do not share your information with third parties.
Your data is used only for administrative and billing purposes.
Information may be shared with exam boards only with your consent.
We retain data only as long as needed.
